Back-to-school print for a school, a team, or a PTA is mostly the same handful of pieces every year — forms, flyers, handbooks, programs — and the budget is always tight. The way to keep it affordable isn't cheaper paper. It's printing smarter: fewer, larger runs and simpler formats. Here's how the people who do this every fall keep it under control.
The pieces you'll need (mostly the same every year)
Registration and permission forms. A student handbook or directory. Flyers for back-to-school night and the first fundraiser. Programs and tickets for games and concerts. Order forms and donation cards for whatever you're raising money on. Because it repeats every year, you can plan the whole list in advance instead of reacting to each deadline as it hits.
The cheapest move is to batch it
Every print job carries a one-time setup cost, paid once no matter how many you print. Ten small last-minute jobs pay that setup ten times. If you map out the year's known printing and run it in a few larger batches instead, you spread that cost thin and the per-piece price drops. This is, by a wide margin, the biggest saving available to a school budget — and it costs nothing but a little planning ahead.
Print in black-and-white where color earns nothing
A permission slip does not need to be in color. Neither does a phone-tree or a supply list. Save color for the pieces that actually represent you to families and donors — event flyers, fundraiser materials — and print the workhorse forms plain. Nobody ever declined to sign a field-trip form because it wasn't in color.
Order the evergreen stuff for the whole year
Forms and handbooks barely change year to year. Printing the year's supply in one run beats reordering in February and paying the setup all over again. Count generously — running out mid-year is the expensive outcome, not the extra ream.
Spend where it counts: the pieces that raise money
Here's the one place not to cut. Fundraiser order forms, donation cards, and event programs are asking people for money, and a cheap-looking ask gets cheap-looking results. A clean, legitimate-feeling piece makes people trust that their donation is going somewhere real. Gold-plate the donation card; keep the hall pass plain.
